What HR software do small and mid-sized UAE companies need?

Small and mid-sized UAE companies need HR software that tracks expiry dates for residence visas, Emirates IDs, passports, work permits and health insurance, lets staff request leave and view balances online, generates salary certificates, NOCs and experience letters from templates, and shares onboarding and exit checklists with IT, admin and finance. A basic setup often runs within 2-4 weeks.

  • HR software alerts staff to renewals, but visas are still processed through government or free zone portals.
  • Self-service lets employees see leave balances, apply for leave and download letters on mobile.
  • For UAE payroll, buyers should confirm WPS salary file and gratuity accrual support.
  • Companies under 50 employees often benefit mainly from expiry alerts and online leave.

The HR workload that spreadsheets cannot keep up with

HR software in the UAE has to deal with paperwork that many other countries simply do not have. Every expatriate employee carries a residence visa, an Emirates ID, a passport, a labour contract or work permit and health insurance, each with its own expiry date. Miss a renewal and the business may face fines or an employee who cannot travel.

In a company of 30 to 200 people, this usually falls on one HR officer or a PRO working from a spreadsheet, a shared folder of scanned passports and a stack of paper leave forms. Salary certificate requests arrive by WhatsApp. New joiners start without a laptop because nobody told IT. The work is manageable until the person who knows the spreadsheet goes on annual leave.

This page is about the everyday tools an SME HR team uses. For a view of HR as an integrated suite across multiple entities, see HRMS software UAE, and for salary processing see payroll software UAE.

The HR workload that spreadsheets cannot keep up with
  • Expiry alerts for visas, Emirates IDs, passports and insurance
  • Online leave requests with balances visible to staff
  • Salary certificates, NOCs and experience letters from templates
  • Onboarding and exit checklists shared with IT, admin and finance

The HR officer's daily screen

Instead of scanning a spreadsheet every Monday, the HR officer opens a list of what needs action. Good HR software in the UAE puts government document dates at the top, because those carry fines when missed.

  • Visas, Emirates IDs, passports and labour cards expiring soon
  • Leave requests pending with each manager
  • Letter requests waiting to be issued
  • New joiners with incomplete onboarding tasks
  • Employees on probation and their review dates

Practical features

What UAE HR teams use every week

These six features remove most of the manual effort we see in SME HR departments.

Document register with alerts

Store passport, visa, Emirates ID, labour card and insurance details with expiry dates. Alerts go to HR, the PRO and optionally the employee ahead of renewal.

Leave management

Annual, sick, maternity, parental, Hajj and unpaid leave types with balances. Staff apply on mobile, managers approve, and the calendar shows who is away.

HR letter templates

Salary certificates, NOCs for bank loans or visas and experience letters generated from employee data with approval before release.

Onboarding checklists

Tasks for HR, IT, admin and the hiring manager: contract signing, medical, Emirates ID biometrics, laptop, email and induction.

Employee file

Contracts, certificates and warning letters attached to the employee record instead of a shared drive, with access limited by role.

Exit clearance

Resignation acceptance, notice period tracking, asset return and a final settlement handed to payroll, with each department signing off.

  • Biometric attendance devices
  • Email and calendar
  • WhatsApp or SMS notifications
  • E-signature for offer letters
  • Document storage such as WorkDrive or SharePoint
  • Recruitment and job boards

UAE Compliance

UAE HR rules the software should reflect

HR software in the UAE records and reminds; it does not replace legal advice. Confirm policy details with your legal or HR advisor.

Leave entitlements

Federal Decree-Law No. 33 of 2021 sets minimum annual, sick, maternity, parental and other leave entitlements. Configure leave types and accruals to match the law and your contracts.

Residence and work permits

Visas and work permits are processed through MOHRE, ICP or GDRFA and free zone authorities depending on the employer. The software tracks dates; renewals are still filed through official channels.

End-of-service handover

Gratuity and final settlement are calculated in payroll. HR software should pass the last working day, unpaid leave and notice details accurately.

Employee personal data

Copies of passports and Emirates IDs are sensitive. Restrict access and keep a record of who downloads them.

FAQs

HR software questions

Still have a question? Our consultants are happy to help.

Ask an Expert
We have under 50 employees. Do we need HR software?

Many companies at that size still benefit, mainly from expiry alerts and online leave. One missed visa renewal or a dispute over leave balances can cost more than a year of a basic subscription.

Can employees see their own leave balance?

Yes. Self-service lets staff see balances, apply for leave and download letters on mobile. That alone removes many daily questions to HR.

Can the software renew visas automatically?

No. Renewals are still processed through government or free zone portals by your PRO or HR team. The software makes sure nobody forgets, and stores the new document and dates once renewed.

Does HR software include payroll?

Some products bundle it and others connect to a separate payroll app. For UAE payroll, check that WPS salary files and gratuity accruals are supported before you decide.

How quickly can we start?

A basic setup with employee records, documents, leave and letters often runs in 2-4 weeks, mostly spent cleaning employee data and agreeing leave policies.

Can you import our existing visa spreadsheet?

Yes. We map the spreadsheet columns to employee and document fields, fix inconsistent dates and import it, then set up alerts on the clean data.
