How do I set up bilingual Arabic and English invoices in an ERP in the UAE?

Bilingual ERP software in the UAE prints Arabic and English on one document, with dual-language headings, the company name in both scripts and item lines carrying English and Arabic descriptions. The harder part is data: customers, items, units and payment terms need paired Arabic fields, validation rules so new records include Arabic names, and bulk imports to fill existing records.

  • One bilingual template is easier to maintain than separate Arabic and English templates.
  • A mandatory Arabic name field prevents new records from printing blank Arabic lines.
  • Machine translation of item names should be checked by an Arabic-reading staff member.
  • Collecting Arabic master data often takes longer than building the bilingual layout.

Why UAE companies print Arabic and English on the same page

A typical UAE customer base mixes government departments, Emirati-owned family groups, multinational buyers and walk-in customers. Rather than keep two sets of templates, many companies use bilingual ERP software UAE setups where one document carries both languages: headings in Arabic and English, the company name in both scripts, and item lines with an English description and an Arabic description underneath.

The layout is the easy part. The hard part is the data behind it. A bilingual invoice is only as good as the Arabic fields on the customer, item, unit of measure, payment term and warehouse records. If half your item catalog has no Arabic description, half your invoices will show blank spaces. Most of our bilingual work is therefore master data design: which records need an Arabic field, who fills it, and how the system stops new records being saved without it.

If you want staff to use the ERP in Arabic, see Arabic ERP software. If users switch languages and need bilingual reports, see Arabic English ERP software.

Why UAE companies print Arabic and English on the same page
  • Dual-language headers, labels and totals on one printed page
  • Paired English and Arabic fields on customers, vendors and items
  • Validation rules so new records cannot skip the Arabic name
  • Bulk import tools to fill Arabic names for existing records
UAE Compliance

Compliance points for bilingual documents

Bilingual layouts must still meet UAE document rules in each language they show. Use these as configuration notes and confirm specifics with your tax advisor.

Matching content in both languages

When a tax invoice shows both languages, the TRN, date, invoice number, VAT rate and amounts must be identical in each part. We render both from the same fields so they cannot drift apart.

Legal names

The Arabic and English company names should match the trade license. Customer legal names in Arabic should come from the customer's own documents, not a guessed translation.

Delivery and customs paperwork

Delivery notes and packing lists for UAE mainland, free zone and GCC movements often benefit from bilingual descriptions. Customs-specific requirements should be checked with your clearing agent.

E-invoicing data vs printed copy

From 2027 the structured PINT AE file exchanged through an Accredited Service Provider carries the legal invoice data. A bilingual PDF is still useful for people, so the PDF and data file should be generated from the same record. Check the latest Ministry of Finance and FTA guidance on dates.

Bilingual master data and layout checklist

Agree these items before anyone builds a template.

  • List every document that will be bilingual: quotation, proforma, tax invoice, credit note, delivery note, packing list, receipt, statement
  • Decide the layout style: side by side columns, stacked lines, or English body with Arabic headings
  • Add Arabic name fields to customers, vendors, items, services, units of measure and payment terms
  • Make the Arabic field mandatory for new records in categories that print bilingual documents
  • Prepare an Excel import to fill Arabic names for existing records, reviewed by an Arabic reader
  • Choose one Arabic font that prints well alongside your English font
  • Test long Arabic descriptions so lines wrap without overlapping columns
  • Check page breaks and repeated headers on multi-page bilingual invoices
  • Keep a bilingual glossary for terms such as Tax Invoice, TRN, Subtotal and VAT

Implementation Timeline

Typical bilingual setup timeline

Most of the time goes into data, not design. Ranges vary with catalog size.

Durations are typical ranges; your plan is agreed after discovery.

  1. Document and data scoping

    Around 1 week

We agree which documents go bilingual and which records need Arabic fields, then estimate how many records must be filled.

  2. Arabic data collection

    2-6 weeks

Your team or a translator fills Arabic names in a spreadsheet we prepare. Large item catalogs take longest, so this often starts first.

  3. Layout build

    1-2 weeks

We build bilingual templates and test them with long, short and mixed-language data.

  4. Import and validation

    Around 1 week

Arabic data is imported, mandatory rules switched on, and a report lists any records still missing Arabic names.

  5. Live use and cleanup

    Ongoing for 1 month

We review issued documents for gaps and help your team close them while the habit forms.

Still have a question? Our consultants are happy to help.

Ask an Expert
Is it better to have one bilingual template or separate Arabic and English templates?

One bilingual template is easier to maintain and means every customer gets the same document. Separate templates suit companies whose Arabic and English audiences need very different layouts. A common pattern is bilingual for customer-facing documents and English only for internal ones.

What happens if an item has no Arabic name?

By default the Arabic line prints blank or falls back to English, depending on how the template is built. We prefer a mandatory Arabic field plus a weekly report of records still missing it, so gaps are fixed at the source.

Can we translate thousands of item names automatically?

You can use machine translation as a first draft in a spreadsheet, but technical items, brand names and units are often translated badly. Have an Arabic-reading staff member review the file before import, especially for items sold to government buyers.

Will bilingual invoices fit on one page?

Bilingual layouts use more space, so long invoices may run to extra pages. We design repeated headers, compact line spacing and clear totals so multi-page invoices stay readable.

Does a bilingual PDF meet e-invoicing rules?

Under the UAE e-invoicing model the structured electronic invoice exchanged through an Accredited Service Provider is what matters for the mandate. A bilingual PDF can still accompany it for people. Check the latest Ministry of Finance and FTA guidance as you plan.
