What ERP or accounting software should an IFZA free zone company use?

ERP software for IFZA companies should start small: cloud accounting with VAT-ready invoices, bank feeds and mobile approvals, then add inventory, projects or CRM as the business grows. IFZA, the International Free Zone Authority in Dubai, licenses many founder-led and multi-activity firms, so activity-level reporting and remote access for overseas owners matter. Zoho or Odoo suit this upgrade path.

  • A one-person IFZA company usually needs good cloud accounting, not a full ERP.
  • Analytic accounts or tags separate revenue and costs per activity on one licence.
  • Owners abroad can approve payments and view cash positions through mobile apps.
  • Small Business Relief is not available to Qualifying Free Zone Persons under UAE corporate tax.

IFZA companies start small and grow in different directions

The International Free Zone Authority (IFZA) licenses companies in Dubai and is known for flexible packages, multi-activity licenses and a large community of founders, consultants and small trading firms. Many IFZA companies start with one or two people, a flexi-desk and a laptop. Some owners live abroad and run the business through a local manager or an accountant. ERP Software IFZA businesses need at that stage is different from what a 200-person distributor needs, and buying too much system too early is a common and expensive mistake.

The usual starting point is accounting that is done properly: invoices with the right VAT details once you are registered, bank reconciliation, expense receipts captured on the phone, and a clean trial balance for the annual audit or financial statements. From there, IFZA companies tend to grow in one of three directions. A consultancy adds projects, timesheets and retainers. An ecommerce brand adds inventory, marketplaces and payment gateways. A trading company adds purchasing, stock and multi-currency suppliers.

Multi-activity licenses complicate things slightly. A single IFZA company might do IT consulting and general trading under the same license. The ERP should separate these streams with analytic tags or departments so you can see which activity makes money, and so your advisor can look at each income type for corporate tax purposes.

UAE ERP Experts sets up Zoho, Odoo, ERPNext, Dynamics 365 Business Central and custom ERP for IFZA companies, with most of the work done remotely and workshops in Dubai when you want them. For very small teams we usually recommend starting on Zoho Books or Odoo, then expanding into a fuller ERP when volumes justify it. See our guide to ERP software for startups for the wider picture.

Tax points IFZA founders should plan for

We configure the ERP so these obligations are easy to evidence. The tax decisions themselves belong with your tax advisor.

VAT registration thresholds

VAT registration becomes mandatory once taxable supplies exceed AED 375,000 over the previous 12 months, or are expected to within the next 30 days, and voluntary registration is possible from AED 187,500. The ERP can report rolling 12-month taxable supplies so you see the threshold coming. Once registered, invoices must show your TRN and prescribed fields, and returns are filed on EmaraTax.

Corporate tax registration and QFZP conditions

IFZA companies must register for corporate tax and file returns through EmaraTax. A company may be a Qualifying Free Zone Person if it meets the conditions, but income from mainland customers or non-qualifying activities can affect the outcome. Tagging revenue by customer location and activity makes this review much quicker.

Small Business Relief versus QFZP

Small Business Relief for revenue up to AED 3 million is available for tax periods ending on or before 31 December 2026, but it is not available to a Qualifying Free Zone Person. Which route applies to your company is a question for your advisor, and the ERP's revenue reports provide the numbers they need.

E-invoicing for small businesses

Businesses with revenue below AED 50 million are expected to appoint an Accredited Service Provider by 31 March 2027 and go live from 1 July 2027 under the PINT AE specification. Choosing an ERP that can connect to an ASP now saves a second migration later. Check the latest Ministry of Finance and FTA guidance for current dates.

FAQs

ERP Software IFZA: common questions

Still have a question? Our consultants are happy to help.

Ask an Expert
Does a one-person IFZA company need an ERP?

Usually not a full ERP on day one. Good cloud accounting with VAT-ready invoicing and bank feeds is enough to start. The key is choosing a platform, such as Zoho or Odoo, that can grow into inventory, CRM or projects without a painful switch later.

Can I manage my IFZA company's books from abroad?

Yes. Cloud ERP works from anywhere, and mobile apps let owners approve payments and see cash positions. We set up roles so a local manager or accountant handles daily entries while you keep approval control.

How do I separate two activities on one license?

We use analytic accounts, departments or tags so every invoice and bill is assigned to an activity. Reports then show revenue, costs and margin per activity, which also helps your tax advisor review income by type.

What does it cost to set up ERP for an IFZA startup?

Costs depend on the platform, number of users and how much configuration you need, so we do not quote a fixed price here. A focused accounting setup is a small project, while adding inventory, ecommerce or payroll increases scope. Our ERP cost guide explains the main drivers.

Can the ERP issue invoices in Arabic and English?

Yes. Zoho, Odoo, ERPNext and Business Central all support bilingual invoice templates. We set up the layout with your TRN and the fields required for tax invoices.

We later opened a mainland branch. Can the same system handle both?

Yes. A second company or branch can be added in the same database with its own books, tax settings and invoice series. Intercompany transactions and consolidated reports then work across both entities.
